Privacy Policy for GT Billing

Last updated: 27 October 2026

GT Billing is a work-recording and billing-history app for people whose business has authorized their account. GT Cable Comm operates the service. This policy describes the information handled by the app and how it is used.

Information we handle

- Account information: name, sign-in email, account identifier, role, account status, service-provider membership and technician assignment.

- Work and billing information: service dates, job types, work-order and account identifiers, service addresses, notes, billing codes, quantities, lengths, rates, amounts, review status and related technician/provider identifiers. These records may identify a customer or work location.

- Photos and attachments: images selected or taken for a job and their file details. Apple Vision text recognition runs on the device; recognized text becomes hosted job information when the user accepts or enters it and the job syncs.

- Sync and operational diagnostics: error messages and information used to operate, secure and troubleshoot the service. Sync reports can include provider and submission identifiers and up to 500 characters of an error message, associated with technician and timing information. These messages are not guaranteed to be free of personal information.

- Support correspondence: information you choose to send when contacting us. Please do not send passwords, verification codes, session tokens, customer records or photos by email.

Why we use information and who can access it

We use this information to authenticate authorized users, manage access, record and sync work, show job history and billing reports, support review of work, store and retrieve attachments, maintain security, diagnose failures and answer support requests.

Access depends on role and service permissions. Technicians access their own authorized work. Supervisory roles can access work across their assigned service providers; owner-level access can extend across providers. GT Billing is not a public social feed, and access should not be understood as limited to one job's technician alone.

Supabase provides hosted authentication, database, file storage and server functions. Account setup and password recovery can involve email-delivery services processing an email address and message. See Supabase's Data Processing Addendum (https://supabase.com/legal/customer-resources/data-processing-addendum) and subprocessor list (https://supabase.com/legal/customer-resources/subprocessor-list). That list describes services used across Supabase, not necessarily every service used by this app.

We do not use app information for advertising tracking or share it with data brokers.

Device storage and exports

Jobs and photos waiting to sync are stored on the device. Sign-in session credentials and secure deletion-status receipts use the iOS Keychain. Device data may be included in device backups depending on device settings and the storage item. Reports can be exported as files. Sharing an export sends its contents to the recipient or service you select, whose own practices apply. Removing the app, signing out or clearing device data does not by itself erase hosted information or independently retained exports and backups.

Retention and deletion

Account, work and billing records are used to provide the service and support authorized business recordkeeping. A normal job-delete action marks its hosted database record as deleted; it is not an assurance of immediate permanent erasure.

Deletion-request records, processing events and scrubbed audit/provenance metadata may remain after active account data is removed. These records support deletion processing, completion verification, security, troubleshooting and prevention of unsafe retries. They are separate from the deletion-status receipt described below; there is currently no general automatic expiry period for all such metadata. Contact us about the information retained for your account and its purpose. This policy does not claim that every metadata item is erased on account deletion.

A secure deletion-status receipt remains available throughout pending or blocked processing and for seven days after confirmed completion. Access expires at the end of that period; expired receipt rows are removed during cleanup processing. We retain protected hashes of retired account identifiers and file paths indefinitely to prevent delayed cleanup from affecting reused identifiers or paths. These protected hashes should not be understood as a guarantee of anonymity.

Our current Supabase Pro plan documents seven-day platform-log retention and a rolling seven-day daily database-backup window. Deleted database information may remain in those backups until they rotate out. This is not a promise that every physical copy is erased exactly seven days after a request. Database backups contain file metadata but do not include Storage-uploaded photo contents. Copies already exported or independently backed up have separate retention and are not automatically recalled by an app deletion request.

To request deletion in the updated GT Billing app, open account settings. Choose full-account deletion or deletion for one service provider, review the displayed scope and impact, and confirm using your current password. Provider-specific deletion leaves data outside the selected provider unchanged. Keep the device containing your secure receipt to check progress. The receipt remains available during pending or blocked processing and for seven days after confirmed completion. Processing is scheduled every 15 minutes; this is a processing cadence, not a guarantee that deletion will finish within 15 minutes. A pending or blocked status is not completion, and a missing or unavailable receipt does not prove deletion succeeded. Contact v.savonenko@gtcable.net for help.

To ask about retention, correction or deletion of account-associated information, email v.savonenko@gtcable.net. Identify your account and describe your request without sending passwords, sign-in codes, session tokens, customer records or photos. We may verify your identity before discussing or changing account-specific information.
